Executive Meeting
April 27, 2010

Randal advised that Nathan and him have come up with some new pricing for the brochure ads
$750 for conners with a 25% break if you buy 2
Small ads $250
Printing to be done by the Gateway Gazette, Randal to try to convince them to become members
Randal will speak with them tomorrow

Need to contact Cathy at the Wheel to see if they can do the brochures for future information

Pat suggested that we should look at doing an insert in the November edition of the Herald or Sun as a cut out

Need an inventory control sheet for the VIC staff

Barb to write the next newsletter and include Opening of the VIC, Welcome to New Business, and
Sales of the VIC Brochure advertising

Pat to get and employee number for staffing of VIC

Next meeting May 12th to be a dessert meeting, suggested we contact the golf course to see if they

are able to accomodate

Executive Meeting
March 30, 2010

Present: Randal, Tanis, Pat and Barb

Barb to check into copyright laws following a request from a local business.

Pat advised that both the Diamond Valley Vet Clinic and Route 40 want to renew their memberships but have
misplaced their invoices. Barb to issue copies.

We need to get a more concrete number on the cost of printing the brochures for the VIC with the Gazette, both Randal
and Pat have spoke with them but they didn't have any firm numbers without looking them up. Continue to work on this and also
get a response from Cathy at Black Diamond EDC on her costs for printing brochures recently.

Need to find out if there is training available closer to home for the new staff of the VIC
Brochure Price Structure - need to continue to work on this. Randal feels that we aren't far off the mark with the
old pricing but Pat feels it might be a little high.

Trade Fair - Pat suggested that maybe November would be a good month if we could get cooperation from Millarville with
their Christmas Market. Tanis to speak with Suzie Campbell to see if something could be worked out. Take to next meeting
to see if there is interest in setting up a committee to organize.

Barb to contact Monique to see if she would be available on April 9th at 8am Turner Valley Town office to discuss Turner Valley's offer.

Next meeting - Pat will speak with Mark at Route 40 and Randal will speak with Dave at Granny's to see which one would be
willing to accomodate us for our meeting on April 14th at lunch time for a $10per plate luncheon.

VIC staffing - Randal will speak with the principal at the High School to see if there is interest from the students for
employment experience and volunteer hours. We will need to place an ad this week in the Wheel and Gazette and Discover Foothills
with resumes in by April 21st, interviews the week of April 26th, hired by April 30th, trained by May 14th to commence work May 20th.
Randal and Tanis to do the interviewing. We will need to set up a payroll account with the government

New Cowboy Trail TDR Campaign presently be working on by Pat with the towns of Turner Valley and Black Diamond for 1 ad.

Old Cowboy Trail TDR Campaign, cheque has been received for $1955. Not the original amount expected as many of the participants after
being advised by Chuck Lee from the Cowboy Trail to get their payments in right away did, therefore, null and voiding their portion
from the final totals. It was felt by the executive and Travel Alberta that we should take the cheque and breakdown the funds
so that everyone except Welcome Acres B&B get a portion of the grant monies. Welcome Acres not to receive any further compensation
as they only paid 1/2 of their original committment. The refund will not be what the group expects but it will be some for all.

Start a TO DO LIST: Come up with a vehicle repair package for the VIC and a Business Info Package

Executive Meeting
March 2, 2010

Present: Randal, Tanis, Pat and Barb

Discussion regarding the passbook idea that was brought up at the AGM. Randal suggested that we have each businesses set up with a
stamp and pad that they can stamp the books with as customers visitor their establishments. The customers will return the books to the VIC to enter their
names in for a prize, or we could place a ballot box in each business and collect for results. Possibly have the store owners keep track
of how they secured their walk-in business. We need to understand how effective our VIC is and also how effective and responsible our members
are who are receiving the most from our efforts and support. Once we have the information we can approach non members
to let them know what our findings produced. If they generated revenue due to our system they need to be told how their business benefits form the
chamber. The form should include who sent them, how did they subject of their store, come up.

Pat suggested that maybe we should have a driving/walking tour. Barb advised that the Turner Valley Oilfield Society already
has a driving tour for the Turner Valley oilfields which would be the Diamond Valley area we could possibly expand on it including the Plaques that have
been included on the buildings in Black Diamond from the Main Street project and the plaques that the Turner Valley Oilfield Society has recognized as being historical in the Diamond Valley area.

Need to set up a meeting with Monique and Cathy from the two towns EDC committees. How can we collectively motivate
business and support from the towns. Barb will contact both to see what we can set up.

Need to produce a handout about what each business offers and supply to the towns.

Barb advised that the Boys and Girls Club will be holding a home based business trade show in the near future.

Staffing - Randal to look after this we need to find out if we can get the staff trained in Calgary or possibly utilize the
materials that Jason received last year. Edmonton training Does not seem feasible at this time.

Suggested that we partner with the towns for a ½ page ad in the Cowboy Trail and also for the TNC publication using TDR. Pat will
contact Cathy to see what can be worked out. Pat is willing to work on the grant applications for TDR funding

Moved by Pat that we increase our membership to $95 per year as of July 1, 2010. Barb to send out notification that we will accept
the $75 membership fee from all members for the 2010 year if it is received by June 30, 2010.

VIC Brochure advertising and VIC advertising, moved to regular meeting with a committee to be struck to look after this.

Pat has volunteered to contact lost members, Tanis advised that see would assist Pat Suggested going back 2 years or so.

Barb and Randal to visit new businesses and business that have yet to approach us for membership

Discussion regarding our next meeting. March 10, 2010 at Diamond Willow Artisan Retreat at 7:30am. To be a continental breakfast
for $5 per person to RSVP by Monday the 8th of March.

Moved by Barb that we will pay Nathan $25,000 only as per letters of commitment dated April 17, 2009 for $20,000 and May 15, 2009 for $5000 seconded by Tanis.
Moved by Pat that Barb writes a letter to Nathan advising him of this and including a cheque for $7000 towards outstanding balance seconded by Barb
and carried this will leave us a balance of $2446.86 owing to Nathan.

Discussion regarding membership rate - Barb to check rates at Okotoks, Calgary, Bragg Creek, and Cochrane before we make a decision.

Moved by Pat that we include the name on the back of the VIC brochures of our members as part of the membership fee seconded by Tanis and carried

Suggested that we get quotes on website hosting and updating. Tanis to check with her company.

Worked on Budget - Pat to send out projected budget to the executive

January meeting include

Christmas Pot Luck is Wednesday December 9th at the Flare N Derrick at 7:00PM Barb will be there for 6:30 to put the coffee on.

Meeting called to order at 9:51am

Moved by Barb and seconded by John to proceed with the Forum as per John's suggestions, carried.

Discussion on Federal Forum October 6th. 4 Candidates are confirmed. Posters are provided by the Gazette for free, Western Wheel
article, maybe some radio (all PSAs), Both towns signs are up for advertising.

Moved by Barb that we purchase water for the candidates for the evening and coffee for the public seconded by Jim and carried.

Set up Sunday at 6pm. Barb will check with Gord to see if he can help. Jim and Tanis will be available.
Barb will be away but will have everything ready.

Barb to check on PA system and check to see if key can be picked up on Friday

October Chamber meeting - John suggested with the grim global times that he and Jim Lead a discussion. Jim is willing
to speak from his perspective as a business owner not advise. A general chat not guide book to be in order.

Still need to get on speakers list
Jim suggest that each executive member come up with a list and submit, and go from there

Tanis asked if we were going to spearhead LightUp. Barb advised that EDC and Royal LePage Foothills are already working on it.
Last year the chamber gave them $500 for advertising. Jim advised that Turner Valley is doing a New Year's Eve Event.
Moved by Barb and seconded by Jim that we give each event $250 this year, carried

John advised that the logo is complete and would like to announce at the meeting.

Barb to get a description of what the New Year's Eve Event is looking at doing from Bev Goble.

Present: John Kirinic, Jim Lawton and Barb Froud

Meeting called to order at 8:50am

Discussion regarding first meeting for the fall season. John suggested reviewing state of affairs, ie. Finances, membership, etc and review the art event.

Jim feels there is an uncertainty as to what the chamber should focus on. Wondering about fund raising events and for what purpose.
Jim questions whether we are the vehicle to market the area or are we a networking/education source for local business advising he would prefer the later. Barb
feels the same advising that Black Diamond Economic Development Committee works on the marketing and special events for Black Diamond.
Turner Valley is putting together some form of EDC and they should be doing the same. Barb feels that we need to advise the towns what we are
willing to do in the communities.
John feels the same but is open to selectively sticking our necks into other aspects of the community as long as its not an unreasonable burden upon
the chamber. John feels we should have position papers for critical areas affecting the business community, trying to integrate EDC as an "EAR" for
the Chamber and offer support where possible.

Marketing/Tourism blitz that we partnered and worked closely with Okotoks was not too much work and seems to be well received.

Jim would like to see us be relied upon as a source of what the business community thinks.

Position Papers - any issue the membership brings forward could result in a position paper. We should set up a template with
the membership as a majority choosing the position.

John asked if there is some way to set up polls/surveys on the website. Jim feels we should use the site as a means to facilitate positions that do come up.

Barb suggests that we set up some kind of schedule of what speakers, etc we will be bringing in so most of the planning is done.

John advises he has been posting items in the forum trying to engage the members but they don't respond and don't respond to emails.

Barb suggested that maybe we need to bring a lap top to a meeting to show the members what can be done online.

John suggested we should be focusing on position papers and inclusion of networking/inter-business communications to start.

Jim is willing to be one of our speakers on general business issues, we need to come up with a good series of relative speakers
giving the members something worth connecting with.

Jim feels we lay out the speakers and advise the members of our focus get feedback and if it looks like they want to focus
on marketing and fundraising then we deal with it at that time.

John feels our website is clumsy, can we work on it?

Chambers Focus: Position papers, speakers, Social Events (paid for by Chamber), Website & Forum expansion.
Need to get together with councils to get their views.
Monthly columns in the Wheel/Gazette which can be extracted from forum discussions.
Jim will send a list of speakers after he considers some options.
Barb to set up meetings with the councils.
Snacks and coffee paid for by the chamber to be at all meetings.
Send out email to Longview Businesses inviting them to meetings.
Website needs updating. Barb advised that this will cost. Jim feels that there is too much info up there, maybe we just need to organize it better.
Jim feels we should come up with a budget for the updating to make it a pleasure to navigate. We shouldn't be duplicating what the towns offer
on their sites. Barb advises that with updates not being done and sites down at the towns it was thought that it would be better that
the public could get info from somewhere so the information was put on the chamber site. Jim suggests that this might be a topic to bring forward to the towns
to consider seeing the amount of money they have spent on their sites.

Barb suggested that Chamber business cards would be a good idea. Moved by Barb and seconded by John that we purchase 500 generic
cards with email/phone number and website address plus 500 president business cards, carried

Tanis feels we need to work with Black Diamond Economic Development Committee as she feels they aren't doing anything. She feels that
the calendar for speakers needs to be done and the website should be updated. Showing we are a chamber with a mandate and we are really trying to work
with the councils. Tanis feels we need to do something for the communities. Ie. Hospice/Legion.
Tanis advised that Sandra feels there needs to be a valid cause to do fundraising. Where we do for the community first then the chamber.
The art event was a good start for an event for the community. Tanis still feels we need to do an event every month. Barb feels we should give
EDC a chance as they have a new member working specifically on events.

May 2, 2008 at Noon at Coyote Moon
Executive Meeting

Present: John Kirinic, Jim Lawton and Barb Froud

Moved by John that we hold our meetings at the Flare and Derrick, the town of Turner Valley has offered the facilty for
free unless it is booked by a paying customer in that case we will pay to use the space seconded by Jim and carried.

Turner Valley Styrofoam Recycling issue - Grant Cameron from Alberta Plastics Recycling Association has offered to come in
and do an information night open to the community. Patty Kindersol from the Town of Turner Valley recycling is also interested in attending.
Dave Birkby from Westbridge PET Containers has also offered his assistance. The event to be held at the Flare and Derrick, further details TBA.

Town Signage - We want a chamber position available by the end of June to present to the towns.

Tailsman is interested in sitting down with John and discussing the community. John is looking at a 3 way partnership for an
information center for the Black Diamond and Turner Valley area. Chamber to facilitate getting the seniors out to work the facility as they
have interesting stories to share. John would like to get a building brought in and put it near the highway somewhere close to the
Flare and Derrick so there is parking available. John will approach the towns for a committment on where we could
put it. Should look at getting portable toliets. For this season John will contact Rolly to see if he can do something
about getting an Atco trailer to move in. It might be an idea to partner with the Turner Valley Oilfield Society to see
if we can use some of their artifacts to put into the trailer as a value added visual experience for visitors. Jim will check on renting a trailer for
2 months if necessary. We need a way to measure the success of the information center. For long term we will be
approaching businesses to see what we can do.

John suggests that we should be looking at getting a trade show booth together for future use. Barb advised that the
Town of Black Diamond already has one and we should see what is available and what would be needed. Jim suggests that we should look
inwardly as opposed to outwardly for awhile.

Discussion regarding future membership meetings. We want them to be more informal where the executive would look after looking
at the previous minutes and taking action where necessary. Meetings shall be as follows:
  • 15 minutes for chamber business (ie. treasurers reports, motions, etc.)
  • 15 minutes for 2 chamber member business to discuss what they do.
  • 30 minutes open discussion and networking
  • 1 hour presentations.

Advertising to be done by: Community signs in both Turner Valley and Black Diamond. News releases into
The Gateway Gazette and the Okotoks Western Wheel
Email broadcast and on the chamber site.
Flyer drops where necessary

Moved by Helmut that we hold our next meeting at the Valley Neighbors club in Turner Valley.
We will put the motion forward to ask the members if they wish to hold elections. If the motion proceeds we
will ask for nominations for President, Vice President, Secretary and Treasurer.
The rest of the meeting to be a Networking opportunity.

Moved by Barb that Glenn and Helmut review the 2007 General Ledger and prepare a Financial Statement for the annual filing. Seconded by Helmut

Discussion regarding the request from the Town of Turner Valley, for us to hold and election forum for their
upcoming byelection in February. As this is just for one community we feel that it is not
something we want to do at this time especially due to the lack of volunteer help. Barb to contact the town
and let them know.

Moved by Barb that we have our group insurance cheques direct deposited into the bank account seconded by Glenn and carried.

Called to order at 8:30pm

Barb advised that the Cowboy Trail Membership is due by the end of December The rates remain the same as last year.
Moved by Glenn that we continue our membership with the Cowboy Trail for 2008 at the Spur Level
for $500 plus GST seconded by Helmut and carried

Moved by Barb to accept John Kirinic's resignation as received seconded by Glenn and carried

Helmut reported on the Mini Trade Fair in Turner Valley on December 1, 2007 17 vendors participated and all were
happy with the results. The morning was very slow with the cold but by afternoon it became busy. Suggest doing this again in the
spring.

Helmut asked if we felt that the job descriptions for the executive needed to be updated. With the bylaws as they are
it is felt that any problems they would take care of it. As the elections aren't until February 2008 we need to try and recruit
someone to take over the Treasurer's position asap.

Discussion regarding the agenda for the meeting on December 12th. Barb inquired why we would need to be worrying about holding
special events. And suggests leaving the special events to the Black Diamond Economic Development Committee Special Events Sub
Committee to look after. Helmut feels we need to get the ball rolling especially on the Derrick raising idea.

September 28, 2007
Executive Meeting

Present: Helmut, John and Barb
9:00 am

John brought forward that we should consider shutting down the Diamond Valley Chamber of Commerce and try something else in 6 months.
He feels that we should have the business community decide what they want their chamber to look like and what they do.
Helmut feels that shutting down or suspending operations would be counterproductive, but agrees that more community involvement would be helpful.
Barb doesn't want to suspend operations as other groups have attempted this in the past ending up no one benefiting.
It is desirable to generate interest from the business community and what they see the chamber doing to help them.
Barb feels that if the community can see value in the Chamber that it will be an easier road and with events like
the forum and partnerships in advertising it is getting the chamber more recognition. In the past the chamber really
didn't get much cooperation, but it wasn't because we haven't tried. It was more a case of no business participation.
The motion for shutting down, discontinuing or suspending the Chamber was not seconded.

John felt that we should give the community the opportunity to get on board before we do anything drastic.
John said need to look at having different levels of membership. Business members, associate members.
We need to involve the towns and village to show them that the chamber can be their Economic Development leader.

John moves that we hold a social event sending out flyers to the Diamond Valley area inviting the community to come
to this social seconded by Barb and carried.

The event will happen Wednesday November 14, 2007 from 7pm-9pm at the Flare n Derrick in Turner Valley. We will
be inviting Ted Morton giving him the opportunity to speak to business on the subject of
Exciting Growth in Southern Alberta Foothills Region and the Alberta Advantage for 10 minutes.
We will also invite representatives from the 4 councils for input on what they see as the advantages
to business within Diamond Valley. John will speak about the Chamber and expectations. The night will
wrap up with questions to the audience members.

Moved by John that we do 5500 flyers for a cost of $385 plus $500 for mass mail out postage to happen 3 times
- one right away, one mid October and one week of event seconded by Barb and carried.

Moved by John that we have finger food at this event and invite 5 area restaurants or deli to participate with
a $100 budget each from the Chamber for their efforts giving them the opportunity to network and have their food sampled
seconded by Helmut and carried.

Moved by John that we pay someone $50 to watch the concession that evening so that the youth aren't coming into
the building and helping themselves to refreshments seconded by Barb and carried.

Moved by Barb that we reserve the community signs in Turner Valley and Black Diamond for the week of the event, seconded by Helmut and carried.

John feels that we should contact the Eagle for some radio PSA. We should also send a press release to the
Okotoks Western Wheel and Gateway Gazette.

From this social event we should have a better understanding of the desire of the business community and whether they
value the Chamber of Commerce in the Diamond Valley area.

October 23, 2007 Moved by Glenn at we sponsor cooperative advertising with Royal LePage Foothills for the
Black Diamond Light Up to $500. Also that we advertise on the Calendar of Events page and in the newsletter
along with our November radio slots seconded by Barb and carried

October 29, 2007 Helmut pointed out the need to thank Mike King for his help with the pre-election forums andasked for suggestions on how to do that.
Moved by John that we purchase $50 Gas Card, $50 Fitness Card and $50 Coffee Card and try to use our members to fill these as a thankyou gift to Mike King for his help with the forums. Town of Turner Valley will be putting $50 towards this gift. Waiting to hear from the town of Black Diamond, seconded by Barb and carried

September 7, 2007
Executive Meeting

Present: Helmut, John and Barb
2:30 pm

Barb advised that Sharlene Brown - Councilor from the Town of Black Diamond, and
Wayne Paige from Alberta Municipal Affairs and Housing will be in attendance for a
presentation on Community Sustainability.

Barb suggests that with the upcoming municipal elections that the Chamber put on all candidates
forums for the communities. Black Diamond would like this to happen, Turner Valley
has already started planning theirs but it would look better (conflict of interest)
if the Chamber did. Longview isn't sure at this time whether they need one or not.
MD has not responded as yet.

Moved by John that we proceed with holding the all candidates forums for each community including Longview and carried.
John has secured a moderator (Mike King) for all forums.
John has spoke with the Town of Turner Valley and they are in favour of us taking over their forum.
Barb will stay in contact with Liza at the Town and find out what they have done to date.
Barb will stay in contact with Mike King for setting up the agenda and finding out some of the "Hot Topics" that we can put to the candidates.

Cowboy Trail Chili Cookoff - Black Diamond Downtown Business Association is no longer holding events in Black Diamond
Downtown. The Cowboy Trail Tourism Association has requested that we consider taking this event
on as they would like to bring in some cowboy related events to promote the Cowboy Trail.
Barb was involved in the Mainstreet Downtown Business events organization years ago and knows how these events are done.
The original intention of this event was to make it and trail length event inviting all
communities along the Cowboy Trail to participate.
Moved by John that at this time we are not prepared to organize such an event will look at it again in the future, carried

Alberta Small Business Week - October 14 - 20 - nothing planned at this time.

Glenn sends his apologizes but he is in Edmonton

Arrangements to be made with Colleen Payne (winner of Diamond Valley Chamber of Commerce Website Treasure Hunt)
to take her picture while she receives the cheque for her winnings.
Barb to contact her and find out when she is available so that John can take her the cheque and
take a picture Barb to write something to accompany the cheque to go to the paper.

New bylaws handed out to John and Helmut to see what was changed prior to taking to the Membership for passing on June 13, 2007

Bank signing changes - John, Helmut and Glenn to go to ATB with the minutes from May 9th meeting
to have the signing authority changed to any 2 of the 3. John suggests doing either June 11 or 12th

2007 Budget and Plans
John has some interesting ideas regarding events/Trade Show etc. He feels we should help in adding value to the community.
Summer time event carnival atmosphere, business co-sponsoring with youth help (Oilfields Scouting) Suggested that he
works out further details and come back with a general budget for these items.
Need to draft something up regarding profit for the future.

Requests to attend future monthly meetings have been coming in Black Diamond Sustainability Visioning
would like to meet with us. Barb to contact them and see if September will work.
Brook Carpenter - Travel Alberta TDR should be at our June 13th meeting.
Student Connections was here within the last year and a 1/2 regarding internet and e-commerce.
At this time there doesn't seem to be enough interest to have them out again so soon.

John suggests we purchase envelops and letterhead (500 each) with our logo and address for future correspondences
possibly with an embossed seal. Barb to check into pricing.

Executive Meeting

Discussion regarding Annual Meeting. Moved by Glenn that we have an evening meeting
at Valley Neighbors in Turner Valley, commencing at 7pm as a mixer with refreshments to be served
seconded by Barb and carried. Moved by Glenn that we advertise in the Gateway Gazette and do a mail out to members.
Glenn is away February 12-16, Barb to find a date that works with the hall during the week following.
Contact Danielle and get her to get the books to Jim Lawton for the financial statement preparation so they can be approved at the annual meeting.

Scavenger Hunt is still a go - Date February 19, 2007. Barb to contact the town of Turner Valley to see if we can use
Royalite Millenium Park (4way stop). Moved by Glenn that we advertise in the community calendar and with posters seconded by Barb and carried.
Suggested also making sure that we put posters up at the elementary schools. Glenn to get Heather to track down some
prizes for the event. The Firestarter will donate one prize.

Have had complaints from business that the town of Black Diamond is going to

Meeting to discuss the opportunity to attend the Travel Alberta Conference October 29-31, 2006.

Registration has already been paid by the Town of Black Diamond Economic Development Committee.

We would be responsible for mileage, lodging and meals

Conference would help in retaining and expanding existing business, attract new business, tourism initiatives,
entrepreneurship and networking with other like groups. We should be responsible for bringing the information back to our community and reporting
to interested business, councils and committees.

Moved by Barb that as we have the funds in our budget to attend conferences that we send Helmut seconded by Glenn and carried.

Barb to send a letter to Black Diamond EDC outlining what we would be responsible for.

TRADE FAIR Both Helmut and Glenn have met with the Eagle. They are willing to become members of our chamber and
would like to participate in the Trade Show. They would like to take two booths (one for The Eagle and one for AM1140).
In exchange for the booths they are willing to advertise for the Trade Show on their stations and the community
calendar. Our cost would be two members booths for $248.
Moved by Barb and seconded by Glenn that we proceed with this offer, carried.

July 17, 2006
Executive Meeting

Present: Glenn Stiller, Helmut Morscher, and Barb Froud

TRADE FAIR
Discussion regarding the trade fair in September. Barb has checked with some of the other communities
that sponsor trade fairs for pricing and contracts. Their prices are rather high and have a lot of add
ons. Glenn informed us that they use professional set up companies and that is why they are more. Helmut has suggested that
we charge $124 for members and $149 for non-members suppling 1 table and 2 chairs per booth. Should the participant
require more they are to contact Good Time Party rentals and make arrangements with them directly.
Moved by Glenn that we go with that rate, seconded by Helmut and carried.

Once the caretakers are back at school after the summer Glenn will get a floor plan and ask if there is access
to wireless internet in the school.

Barb to work on the contract and use Okotoks Trade Fair as an example.
Cancellation to be 50% returned if cancelled prior to 14 days of show. After 14 days no refund will be issued.

Moved by Glenn that we allow no more than 3 non profit organizations in the trade fair
-no advertising of the non profit rate per table that they need to call. At that time we can
make the decision if they fit, and are under the allowed numbers. The rate for non profit will be $75

Barb to contact both towns and see if we can get on their town signs for the week of the trade fair.

Need to purchase blue painters tape to outline where the tables will be positioned in the gym.

In the contact advise participants that they can get advertising in the center section of the Gateway Gazette for $20.

FIRST AID COURSE
Barb advised the executive that we can get a tv/vcr from the town FCSS but they are very old and not working all that well.
Moved by Glenn that we purchase a tv/vcr either as one unit or separate units for a maximum of $200 seconded by Helmut
and carried. This to be stored at the Firestarter.

MEMBERSHIPS
While Barb was researching the rates for other trade fairs she checked out what other communities are charging
their members to join their chamber. It was discovered that Diamond Valley is rather low. Moved by Helmut
that renewing members next year that are in good standing in 2006 shall be $65, new members and returning members $75,
The businesses that join after September 1 - December 31, 2006 shall receive their membership for 2007 included in their $50
registration for 2006 but this only applies to New Members seconded by Glenn and carried>

NEXT MEETING
Barb is to include in the agenda for the meeting on September 13, 2006 Trade Show, First Aid Course
and HBDC co-sponsored event regarding what they have available to business. Glenn
will report on new Turner Valley Development Plans, Barb to report
on Black Diamond EDC happenings, Family Day Scavenger Hunt event

Discussion regarding First Aid course. We will need to rent
Valley Neighbors for 2 full days for a cost of $481.50.
We will need to track down a TV/VCR. Barb will check with the library
and see if they still have FCSS TV/VCR to loan.
Cost to be $70 per person to a maximum of 18 people over 10 people
We will be responsible for mileage for instructor at $.45/km along with
accommodation depending on where the instructor lives.

Glenn suggest that we hold the course mid September.
Barb to book the hall and then pin down the date.

Moved by Barb and seconded by Helmut that we charge members
$110 and non-members $140 carried

Helmut to write press release for the papers

Helmut to do up posters that we can use to advertise.

Barb to let EDC know so that they have record of it and help
with getting non-members to sign up.

Meeting called to order at 7:15pm by Helmut

Discussion on the Agenda for May 10, 2006 general meeting. Barb informed us that
Toby Johnston-Stewart will be in attendance to cover Chamber group insurance.

Membership Package. Moved by Glenn to go ahead and photo copy the inserts for the package,
purchase the two sided folder, have the decals made up, print membership certificates and business cards for the executive
seconded by Barb and carried.
Glenn to get the best price on the copies and get them copied.
Glenn to get two quotes on the window decals and have them made.
Helmut and Barb to make up the stickers for the fronts of the folders, certificates and business cards.
All of the above to start with 50 copies then go from there.
Moved by Barb and seconded by Glenn to go ahead with the copies for the prospective new members
package which should be 3 pages stapled together carried.

Moved by Barb and seconded by Glenn to go ahead with the sponsorship of this years Commercial Float
trophy for the Diamond Valley Parade at $35 carried

Moved that we don't participate in the Family Run this year as it doesn't seem to do benefit business,
but promote if with the local businesses.

Glenn suggests that we do a community function for mid December, he proposes that we do a community
Hay Ride with a bonfire and hotdogs and hot chocolate. Glenn to start work on this.

Present: Helmut Morscher, Glenn Stiller, Danielle Gosselin, and Barb Froud

Since the marketing committee failed to make a report or submit any reasonable suggestions,
the executive will have to decide on a solution. Moved by Helmut
that a simple 20-10-5 bounty system be put in place. Whoever brings in a new member,
gets $20, once the new member's check has cleared. If the new member renews,
the sponsor gets $10 for the first renewal, $5 for the second renewal.

Unlike media advertisement, a bounty systems has 100% accountability, and considering the
demographics of the area, is not wasting excessive funds on the remaining few businesses that are not members
yet. Seconded by Barb and carried.

Membership fee collection: should be handled by the treasurer. We have gotten a PayPal account and
can now accept VISA, MasterCard, PayPal as well as checks. Electronic payments generate
emails to the treasurer and to the secretary.

With check and cash payments we need an email from the treasurer to update the membership list
and mark that member as being "In Good Standing".

The treasurer should occasionally (once a month) view the on-line membership list and contact
the delinquent members. Clicking on the email address on that list will open a pre-addressed email.
The phone number is also there.

Treasurer's Report for Budget Preparation- Danielle is working on the current report and a list
of expenditures of previous years. Will need to included items such as:
  • Trade Show
  • AGM event
  • Seminars
  • Sponsorship
  • AB Chamber of Commerce AGM
  • Cowboy Trail Membership
  • Advertising
  • Office Expense
Moved by Danielle to prepare the first draft for the members to go over and have input.
2 weeks after the next general meeting the final budget should be ready for final approval
by the members seconded by Glenn and carried

Moved by Helmut and seconded by Glenn to go ahead with the ad as last year for the Foothills
Country Visitor Guide - 1/8 page ad for $121 the phone number will need to be changed carried.

Danielle to prepare the first draft with help from Barb on the questionare section.

Educational topics: Proposed by Glenn that we use the value added programs as a place
to start for educational topics and have the company representatives come out and let the chamber members know
exactly what their programs are about. We have had contact with Oilfields/Okotoks
Health Foundation and they want to come out about their Golf4Wellness Golf Tournament.
We have also received a request from the Millarville Rodeo for sponsorship for their Rodeo.
Moved by Glenn and seconded by Helmut that we ask the Oilfields/Okotoks Health Foundation to come do a
10 minute presentation with a 5 minute Q & A to follow for our next meeting, carried.
As far as the Rodeo goes they will have to wait to see if we have time for them at the May meeting.

Membership package: Glenn is getting the package together for the members, it will include:
  • Maps of the Towns, Village, etc
  • List of AB Chamber Members Benefits
  • List of Members?

Moved by Danielle and seconded by Barb that we have Helmut Morscher have signing authority
at the bank in place of Mike Kingston carried.

Moved by Danielle and seconded by Helmut that we take $10,000 of the $13,000 that we have
in the chequing account and transfer it to our savings account to make some interest on the money,
at the same time set up On-Line Banking so that transfers can be done electronically, carried
